Dispatch documents decide whether a load can be billed cleanly. A strong rate still turns into a payment problem when the rate confirmation, BOL, POD, receipts or accessorial proof are missing, inconsistent or submitted late.

For owner-operators and small fleets, the document workflow should start before pickup. Dispatch needs one trail from booking to invoice, not a scramble after delivery.

Document workflow

  1. Before booking: verify broker setup and payment rules so dispatch knows which documents will be required.
  2. Before pickup: audit the rate confirmation against lane, rate, accessorial and appointment details.
  3. At pickup: capture BOL details and note any shipper exceptions before leaving the facility.
  4. During transit: collect detention, lumper and accessorial proof while the event is happening.
  5. After delivery: build the invoice packet the same day with POD, receipts and broker-specific submission rules.

Operational rule: dispatch should treat documents as part of the load, not as after-work. If a document can affect payment, it belongs in the dispatch workflow before the truck moves to the next load.
