Truck Dispatch Proof of Delivery Checklist
Dispatcher AI - Updated August 2026
Proof of delivery is the handoff between dispatch operations and cash collection. A load can be delivered on time and still create payment friction if the signed paperwork is blurry, missing pages, missing accessorial proof or not tied to the correct rate confirmation.
For owner-operators and small fleets, the dispatch process should treat POD collection as a required closeout step, not an afterthought after the driver leaves the receiver.
Invoice-ready POD packet
| Item | Why it matters | Dispatch check |
|---|---|---|
| Signed BOL or POD | Confirms the freight was delivered and accepted. | All pages present, legible and tied to the load number. |
| Delivery timestamps | Supports on-time performance, detention and dispute resolution. | Arrival, check-in, dock, unload and check-out captured. |
| Exceptions | Protects the carrier when freight is short, damaged or refused. | Notes are written before the driver leaves the facility. |
| Lumper and accessorial proof | Prevents earned charges from being rejected at billing. | Receipts, approvals and amounts match the invoice line items. |
| Rate confirmation | Defines pay, terms and required paperwork. | Final signed ratecon is attached with the POD packet. |
Closeout checklist before the driver leaves
- Confirm every page: ask for the full BOL/POD set, not only the signature page.
- Check readability: load number, receiver signature, dates and exception notes must be readable.
- Record timestamps: delivery events should be captured while the sequence is still fresh.
- Attach receipts: lumper, scale tickets, tolls or driver-assist proof should not sit in a separate thread.
- Flag disputes immediately: shortages, damages and refused freight need broker notice before invoice time.
Operational rule: a delivered load is not closed until the POD packet can be invoiced without asking the driver or broker for missing proof.
How AI dispatch helps
AI dispatch can prompt the driver for missing pages, detect low-confidence paperwork photos, match accessorial proof against approved charges, and keep the invoice packet status visible to dispatch. That shortens the time between delivery and billing.
